2. Information We Collect
Information You Provide
- Booking flow: Name, email address, phone number, company name, preferred date/time, and project description when you book a consultation through The Architect or our contact page.
- Lead magnet forms: Email address when you download resources such as our Revenue Leak Audit Checklist.
- Client portal account: Email, password (hashed), full name, company, phone, website, industry, company size, tech stack, and automation goals when you create or update your account.
- Contact form submissions: Name, email, and message content when you submit a request through our website.
Information Collected Automatically
- AI assistant conversations: Voice and text transcripts of your interactions with The Architect, our AI-powered assistant. These conversations are processed by third-party AI services (see Section 4).
- Usage data: Pages visited, session duration, and referring source. We do not use third-party tracking cookies or analytics platforms that track you across other websites.
- Device information: Browser type, operating system, and screen resolution, collected automatically by our hosting provider (Cloudflare).
3. How We Use Your Information
- Service delivery: To schedule consultations, create calendar events, and send booking confirmations.
- AI assistant: To power The Architect's responses and improve the accuracy of our AI assistant over time.
- Account management: To maintain your client portal account, display your dashboard, and manage workflows.
- Transactional emails: To send booking confirmations, welcome emails, password reset links, and account notifications via our verified email domain (
noreply@emoria.ca). - Lead magnet delivery: To send requested resources to the email address you provide, with your explicit consent.
- Business operations: To respond to inquiries, improve our services, and maintain our systems.
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
4. Third-Party Services
We use the following third-party services to operate our platform. Your data may be processed by these services in accordance with their own privacy policies:
- ElevenLabs (USA) — Voice AI processing for The Architect's voice capabilities.
- OpenAI (USA) — AI language processing for The Architect's text responses.
- Google Calendar API (USA) — Creating and managing consultation bookings.
- Resend (USA) — Sending transactional emails (booking confirmations, welcome emails).
- Supabase (USA) — Database hosting, user authentication, and account management.
- Cloudflare (USA) — Website hosting, CDN, and DDoS protection.
5. Data Storage & Cross-Border Transfers
While Emoria is based in Calgary, Alberta, Canada, your personal information may be processed and stored on servers located in the United States through our third-party service providers listed above. By using our services, you consent to this transfer. We ensure that all service providers maintain appropriate security measures to protect your data.
6. Data Retention
- AI conversation transcripts: Retained for up to 90 days to improve service quality, then automatically deleted.
- Booking records: Retained for the duration of our business relationship plus 2 years for follow-up and record-keeping.
- Client portal accounts: Retained until you request deletion or your account is inactive for 24 months.
- Lead magnet email addresses: Retained until you unsubscribe or request deletion.
- Website usage data: Aggregated and anonymized. No personally identifiable usage logs are retained beyond 30 days.
7. Your Rights
Under Alberta's Personal Information Protection Act (PIPA) and PIPEDA, you have the right to:
- Access your personal information held by us.
- Request correction of inaccurate or incomplete information.
- Request deletion of your personal information, subject to legal and contractual obligations.
- Withdraw consent for the collection, use, or disclosure of your personal information (which may limit our ability to provide services to you).
- File a complaint with the Office of the Information and Privacy Commissioner of Alberta if you believe your privacy rights have been violated.

8. Cookies & Local Storage
We use minimal browser storage:
- Session storage: A flag to remember you've seen our entry page during this browser session (
entered), and whether the AI disclosure notice has been shown (arch_ai_disclosed). - Local storage: Authentication tokens for the client portal (managed by Supabase).
We do not use third-party tracking cookies, advertising pixels, or cross-site analytics tools. There is no cookie consent banner because we do not use cookies that require consent under Canadian law.
9. CASL Compliance
We comply with Canada's Anti-Spam Legislation (CASL). We only send commercial electronic messages (CEMs) when you have provided explicit consent, such as:
- Checking the consent box on our lead magnet download form.
- Booking a consultation (implied consent for transactional follow-up).
- Creating a client portal account (implied consent for service-related communications).
Every marketing email includes a clear unsubscribe mechanism. You can unsubscribe at any time by clicking the link in any email or contacting us directly. We process unsubscribe requests within 10 business days as required by CASL.
10. Children's Privacy
Our services are designed for businesses and are not directed at individuals under 13 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will notify active client portal users via email. Continued use of our services after changes constitutes acceptance of the updated policy.
